RSB AI · Business services
Workflow automation that connects your business.
Connect the steps between an enquiry and the next useful action. RSB AI designs automation around existing systems, clear business rules, and the people responsible for the work.
Where it fits
Find the repeated handoff.
Automation is useful when the same information is copied between tools, requests wait for routing, or staff repeatedly chase a status update. A focused starting point might connect an enquiry form to a CRM, assign the next task, and notify the person responsible.
The approach
Clear scope.
Useful work.
Map triggers and decisions
Define what starts the workflow, which system owns each record, and what should happen next. Use deterministic rules for predictable decisions and assess AI only where interpretation is useful.
Connect supported systems
Check API access, field mappings, permissions, and provider limits. Define how repeated events, missing data, and duplicate records are handled so a retry does not create another action.
Make exceptions visible
Agree failure alerts, manual recovery, and who owns each exception. Test interrupted connections and invalid inputs alongside the normal path, then document how the team can operate the workflow.
Illustrative example
From enquiry to a clear next action.
An illustrative service-business workflow could capture a website enquiry, match it to a CRM contact, assign an owner, and prepare a follow-up task. If the record is ambiguous or the CRM connection fails, the request should enter a visible review queue instead of silently disappearing.
A possible project scope, not a reported client result.

Define success before connecting tools.
Acceptance criteria can include routing accuracy, processing time, duplicate handling, and recovery from a failed step. Existing CRM and email tools can remain part of the process when their supported interfaces fit the scope. Account access, subscription limits, sensitive data, and ongoing maintenance need to be agreed before rollout.

Before you begin.
Do we have to replace our CRM?
Not necessarily. We assess whether its supported interfaces can handle the required workflow. Sometimes a configuration change is enough; other cases need an integration or a narrower scope.
Does every workflow need AI?
No. Fixed rules are often appropriate for routing, record updates, and notifications. AI can be considered for tasks such as interpreting an enquiry or extracting information, with validation appropriate to the action.
Can you guarantee time savings?
An outcome needs evidence from your process. Establish the baseline, test representative work, and compare results against agreed criteria before claiming a saving or expanding the automation.
