## Custom AI agents built around your team.

An assistant should understand its task and its limits. RSB AI develops agents around your business information, connected tools, and the decisions your team needs to control.

A focused starting point

- Business knowledge

- Connected tools and actions

- Evaluation and escalation

The right scope starts with your process.

Where it fits

## Give the assistant a clear job.

A custom agent can help when a team repeatedly searches the same information or moves between systems to complete a task. Possible scopes include finding internal guidance, qualifying an enquiry, or preparing a document. Start with a defined audience and a task that can be evaluated before adding more responsibilities.

The approach

## Clear scope.
Useful work.

### Connect approved information

Identify source documents, ownership, update frequency, and access rules. Define how the assistant handles missing or conflicting information and when it should refer someone to your team.

### Scope tools and permissions

Connect only the actions needed for the agreed task. Routine replies or updates can run within defined rules; exceptions, sensitive changes, and uncertain cases follow an agreed escalation path.

### Test realistic conversations

Evaluate representative questions, unavailable information, incorrect assumptions, and attempts to override instructions. Agree acceptable behaviour, fallback responses, and review responsibilities before release.

Illustrative example

## A property enquiry assistant.

In an illustrative scope for a property business, an agent could answer from approved listing information, collect a visitor’s requirements, and pass a structured enquiry to the CRM. It should avoid inventing availability or prices and route negotiation or unusual requests to staff.

A possible project scope, not a reported client result.

Before implementation

### Integration depends on the systems.

CRM, email, and WhatsApp connections depend on supported APIs, account permissions, provider policies, and any required business approvals. AI usage, messaging, and hosting can carry separate costs. We scope data access and retention, decide who maintains the sources, and define how failures reach the team.

Common questions

## Before you begin.

### Is this the same as a general chatbot?

The scope is narrower: a defined business task, approved sources, and, where appropriate, specific connected actions. The system still needs evaluation and clear limits.

### Can an agent work with our CRM?

Potentially. We first check the CRM’s supported API, permissions, available records, and required actions. Access to a CRM account alone does not establish that every integration is supported.

### Can it reply through WhatsApp?

A project can assess an official WhatsApp Business Platform integration, subject to account eligibility, provider rules, and required setup. Availability and messaging costs must be checked for your account.
